Set up a Quick Report User | Quick Report Distribution List | Quick Reporting
The quick report in Incident Track provides users an easy and efficient way to quickly report an incident without having access to the full Incident Track.
Set up a Quick Report User
In order to use quick report, the user's role must have the quick report permission selected for Incident Track. If you would like to create a user solely for using quick report, follow the steps below.
- Create the Quick Report role:
- Select Administration from the menu bar
- Select Manage Roles
- Click the New button in the upper-right
- Enter in a Name for the role (Example: Quick Report User)
- Under Incident Track, select Quick Report
- Click Save & Close
- Create the Quick Report user:
- Select Administration from the menu bar
- Select Manage Users
- Click the New button in the upper-right
- Enter in the required fields for the user
- Under Default Role, select the quick report role you created
- Click Save & Close
- Assign the user to sites:
- Click the Sites icon to the right of the quick report user
- Click Assign
- Select the Site from the drop-down menu
- The quick report default role will automatically be selected
- Click Save & Close
Set up Quick Report Distribution List
A user with full access to Incident Track needs to set up a quick report distribution list before allowing others to use quick report. This will ensure that the appropriate individuals receive an email notification when a quick report is entered in Incident Track. The primary site's distribution lists will also be used for secondary sites in which a distribution list has not been created.
- Select Applications from the menu bar
- Select Incident Track
- Select the Setup icon
- Select Distribution List
- Select the Site from the drop-down menu
- From the Type of notification drop-down menu, select Quick Report
- Select the Incident Type from the drop-down menu. The Default type will apply to a distribution list in which an incident type has not been created
- Add the desired individuals to the distribution list by clicking the Add button in the Internal and External Distribution list sections
Quick Reporting
When a user with the quick report permission logs into Incident Track, they will follow these steps to report an incident.
- Select Applications from the menu bar
- Select Incident Track
- Select the Incident Type from the drop-down menu
- Click Next
- Enter in the required fields and any other optional fields with the incident information
- Click Save & Close
The quick report will be distributed to those on the quick report distribution list.
